EMS Tutorial

Lesson 1 - The basics
After you start WEMS, and enter the EMS user ID and log-on, you
will see this window. The title bar tells us that we are in EMS for Window.

What is a
database?
EMS consists of many databases. Each database consists of records,
and each record contains data on one specific material in it. You can enter data in a
record by typing it in individual fields and you can create links to data in other
databases. That way you have access to that data without having to enter is again.

| EXAMPLE:
You enter all the information you have on one particular inventory
item in an inventory record. You can also type in location, MSDS,
and Chemical Reference information in that record. Every time you
create a new inventory record you will have to re-type the same data
over and over again. To avoid having to re-type this information in
each new inventory record, you can create separate records for each
location, MSDS, and Chemical Reference that are stored in separate
location, MSDS, and Chemical Reference databases. When you create a
new inventory record you can create a link between that inventory
record and the applicable location, MSDS, and Chemical Reference
records. This creates a relationship between the inventory,
location, MSDS, and Chemical Reference database. |
You will learn more about linking data in the different database
modules.
How
many databases are there?
This diagram shows the major databases that make up the EMS system.
We will explain each one in a separate section of this tutorial. In addition to these
components there are many smaller databases available. You will learn about these as you
go along.

Notice the lines that connect the different databases. These lines
indicate the relationships between the different databases. When you are working in one
particular database you can enter data quickly by selecting data that comes from another
database. As you can see everything is linked together. When you start working with the
different database modules you will get a better understanding how everything works
together. We recommend you start with the MSDS database.

Working with databases
Move your cursor over the menu bar. Click on
Materials. You will see this drop-down menu: |

There are several databases you can select from. We will explain
each one of these databases in the inventory database module. For now, click on Inventory.

You will see an existing single inventory record like the one
below.

Click on the Toggle/Browse icon
on the icon bar. You will see a list of all the records in the inventory database like the
one below. Notice that the Chevron Avgas 100 record is highlighted. You can scroll up and
down using the scroll bar on the side. |

To see the complete Chevron Avgas 100 record you
can either double-click on it or you can highlight it and click on the Toggle/Browse icon
again. Click Toggle/Browse
to return to the single record view.
Notice that this record is in a window. There is a blue bar at the
top of the window. On the left is the name of the database, in this case Material
Inventory. On the right are 3 buttons. If you click on the X
the window will close and the material inventory database is closed. The one in the middle
allows you to maximize the screen, and the one on the left will allow you to minimize the
window. |
| You can open several databases at the same time. Click Facility on
the Menu Bar. You will see another drop-down menu with choices like the one on the right.
Select Facility. You will see a single facility record like the one below. |

The inventory window disappeared. Since we did not
close the inventory database by clicking on the X in the
upper right-hand corner it must be hidden. The inventory window is underneath the facility
window. |
| Select Window from the Menu Bar. You will see at the bottom of the
drop-down menu the names of all the databases that are open. There is check mark in front
of Facility indicating that the facility window is active at the moment. Select Material
Inventory. The inventory database window will appear on top of the facility database
window. You can have several databases open at the same time. Use the
Window command from the menu bar to switch back and forth between them. |

You will see this icon in almost any record in the EMS system. When
you click on this icon while you are adding or editing a record a pop-up table will
appear. This pop-up table is a list of data from another database. You can select data
from this list and link it to the record you are working on. |
| If you haven't done so already, open the inventory
database in single record view. Look for the icons with the 3 dots in them. You will find
many, but the first one is a link to the location database. |
| The pop-up table would look like this. You can select a location by
double-clicking on a record. If you are looking for a certain record
start typing the name and you will see the closest matching records appear.
All pop-up tables work in a similar fashion.
We will work with pop-up tables in all the different database modules. |
